New Enquiries Coordinator

Law Firm, North London (Metropolitan Line), Permanent, Onsite working, £30,000

Our client, a well established, well regarded and trusted family law firm is looking to recruit a New Enquiries Coordinator, due to demand and growth, at their North West London office.

We are looking for someone who is warm, confident, and professional, with excellent listening skills and the ability to support people at what can often be a sensitive or stressful time. Many of their enquiries relate to family matters such as divorce, as well as property and probate, so empathy and discretion are key.

This is a client-focused role at the heart of the firm. You will be the first point of contact for new enquiries, ensuring every caller receives a positive first impression of the company and feels reassured about the next steps. Your role will be to understand their needs, ascertain which person it would be best to speak to and smoothly arrange a meeting with the appropriate solicitor.

No prior legal knowledge is required — we will provide training — but you should have the confidence to learn basic information about their services and explain this clearly to clients.

Responsibilities:

  • Act as first point of contact for new enquiries by phone and email, providing a professional and empathetic first impression
  • Listen to clients’ situations and identify the most appropriate department or solicitor to help them
  • Arrange meetings with solicitors recording accurate client information
  • Provide clear information about services and the client onboarding process
  • Collaborate with colleagues across departments to ensure smooth handover and excellent client experience
  • Additional office duties such as scanning, filing, typing, diary management
  • Accurately record enquiry details using case management system and maintain up-to-date client records

Skills and Experience needed:

  • Excellent communication and listening skills, with a warm and empathetic manner
  • Comfortable engaging with people over the phone about potentially sensitive topics
  • Organised and detail-oriented, able to manage multiple enquiries efficiently
  • Professional, proactive, and able to take initiative while working as part of a team
  • Confident in learning new systems and picking up basic legal knowledge (training provided)
  • Experience in customer service, client care, or a similar role is desirable
