Job Description

Studio Coordinator, Architects, London, hybrid, permanent, £32,000-£37,000

Our client is a friendly successful Architects looking for a proactive and friendly Studio Coordinator. This will form an integral part of the office, offering administrative support to the Directors and wider team, and helping to ensure the day to day smooth running of the office. You will ideally have a sound grasp of Indesign and knowledge of working in the Architecture industry or similar. This is a permanent role working 9:00am to 6:00pm with the option of some hybrid working.

Duties include:

  • Managing the Directors’ diaries
  • Booking business travel and accommodation
  • Meeting and greeting and answering the phone along with colleagues
  • Supporting project teams with administrative tasks and reports and graphics
  • Creating presentations for conferences/lectures
  • Setting up office meetings & organising refreshments
  • Sorting and distributing incoming post
  • Monitoring and ordering office supplies
  • Ensuring the office is organised and tidy
  • Assisting the Finance Manager with invoicing, payment runs and receipts
  • Posting job adverts, monitoring CV’s and organising interviews for potential new employees
  • Organising staff trips, visits and events
  • Assisting with Quality Management audits/manual and Staff Handbook
  • Marketing and New Business Support: Checking info account and passing relevant emails on
  • Updating and maintaining website
  • Creating and updating Project Pages
  • Maintaining contact list/database
  • Responding to press requests and liaising with photographers etc
  • Coordinating and sending monthly newsletter
  • Maintaining and updating Open Asset Image Database
  • Monitoring, entering and coordinating award submissions
  • Supporting the Directors and Associate Directors with tender submissions

Skills and experience:

  • Indesign knowledge and an interest in Architecture
  • Solid Administration experience
  • Background in working within Architecture or Design would be an advantage
  • You could be Part 1 qualified as long as you are not aiming to become an Architect
  • The ability to provide social media support
  • Confident telephone manner and welcoming demeanour
  • Knowledge of MS office and solid Administration skills
  • Experience of travel organising and diary management
  • Ability to support the creative bid process, confident with graphics
